DESIGN THINKING: AN IMPROVEMENT TO THE DOCUMENT MANAGEMENT SYSTEM IN THE CIVIL HOUSE OF THE TOCANTINS STATE

Abstract

The Document Management System - SGD is a management instrument used by the Government of the State of Tocantins to intermediate the process of processing documents between the folders of the State Executive. However, as is common in technological tools, users encounter difficulties in using the system, hindering the work of those who use it daily. One of them is based on the impossibility of identifying, in the DGS, documents or processes of the same content, or dealing with the same theme, which can cause serious disorders during the processing of matters. Thus, this study aims to identify difficulties and suggest improvements in the Document Management System in the Civil House of the State of Tocantins. For verification of the hypothesis, a structured and non-identifiable form was applied, through google Forms, answered by most of the servers that perform their activities Operationalizing the said system. Difficulties were reported in the intuitiveness of operationalization and, in particular, in the identification of files with the same object. Thus, it was suggested, through the application of design thinking, the inclusion, in the platform, of indexers by matter, allowing the joining of processes and documents that deal with similar objects, which may result in the saving of many resources, especially the productive time.
